The Village Hall Committee is a Standing Committee of Coggeshall Parish Council.
Responsibilities:
Monitor the condition of the premises and ensure it is:
- Clean and tidy.
- In good decorative repair.
- Secure.
- Free of any obvious and significant health and safety hazards.
- Used by hirers in accordance with the terms and condition of hire.
- Liaise with Caretaker to ensure that any problems are addressed and any improvements which could be made.
- Deal with any complaints from hirers or visitors, liaising with the Caretaker and for reporting to the Full Council Committee as appropriate.
- Detailed revenue estimates of income and expenditure, and if required receipts and payments on capital account shall be prepared each year, after consultation with the RFO, and submitted to the Finance Committee.
- In consultation with the RFO, shall monitor that actual income and expenditure is in line with the budgets approved by the Council.
- Review the tariff for hirers annually and submitted to the Full Council.
- Consider the medium/long term development of the premises and submit to the Full Council.
- Liaise with The Clerk to ensure that he/she is fully aware of the committee's requirements as to work to be carried out in the Village Hall and is in receipt of all quotations for work to be carried out.
- That all work to be carried out in the Village Hall is within the annual agreed budget and is submitted to the Full Council for approval.
- To review, from time to time, the security and facilities of the Parish hall and such other buildings which the Council operate, and feed results into the Council's annual review of Risk Assessment and Insurance arrangements.
